This Joint Privacy Policy explains how True Solicitors LLP (“True”) and My Housing Claims (“MHC”) collect, use, store, share, and safeguard your personal data.
True Solicitors and My Housing Claims act as joint controllers for all personal data:
entered into,
submitted through,
collected by, or
generated in connection with
the MHC website, including all enquiry forms, call back requests, chat tools, marketing sign ups, and associated ads or analytics.
Once your enquiry is transferred to True Solicitors, or any other appointed solicitor, and you engage with them as a client or potential client, that solicitor assumes full responsibility as the sole data controller for your legal matter.
This policy applies to all personal data processed jointly and individually by the controllers.

My Housing Claims is a trading style of True Solicitors LLP.
True Solicitors LLP is a limited liability partnership regulated by the Solicitors Regulatory Authority (597679) and registered in England & Wales at Companies House under number OC372714 and with its registered address at Portland House, New Bridge St W, Newcastle Upon Tyne, NE1 8AP. True Solicitors LLP trades both in its own name and under the authorised trading style My Housing Claims. Both organisations jointly operate the “My Housing Claims” online brand and jointly determine how data from the My Housing Claims website is collected, used, stored, and shared.
True and MHC jointly determine why and how personal data from the My Housing Claims website is processed. We have a written agreement that allocates our respective responsibilities. In brief: MHC leads operation of the website and collection of enquiry data; True leads responses to data rights requests and regulatory compliance. You may exercise your data rights against either organisation; we will cooperate to respond.

Once a matter is passed to True Solicitors for formal review:
True Solicitors becomes the sole controller of your case file.

When MHC acts for True as a processor
For specific activities – such as capturing enquiry details on True’s behalf – MHC acts on True’s written instructions as a processor (Article 28 UK GDPR). In these cases, MHC applies appropriate security, restricts access to authorised staff, keeps required records, and makes information available to True for audit and compliance. At the end of the service, MHC will return or delete personal data on True’s instruction, unless the law requires retention.
Lawful bases for processing
We rely on the following bases:
Article 6(1)(b) - performance of a contract or steps prior to entering into a contract.
Article 6(1)(f) - legitimate interests (e.g., responding to enquiries, improving services).
Article 6(1)(c) - compliance with legal obligations (SRA, AML, fraud prevention).
Article 9(2)(f) - processing of special category data for legal claims.
Consent - for specific marketing activities only.
You may withdraw consent at any time.
Joint controller arrangement
True and MHC have entered into written agreement which sets out how responsibilities are divided between the two organisations.
My Housing Claims is responsible for:
Operation and administration of the Dial a Claim website.
Initial collection of personal data via the site.
Obtaining valid marketing consent where applicable.
Ensuring website analytics and advertising tools are compliant.
True Solicitors LLP is responsible for:
Handling and responding to data subject rights requests.
Maintaining Records of Processing Activities.
Compliance with SRA, ICO, AML, and professional obligations.
Retention and security of all case related records.
Both parties jointly:
Determine the purposes for which online enquiry data is processed.
Decide how the website collects and transfers data.
Share responsibility for transparency and fairness.
You may exercise your rights against either controller, and True Solicitors will coordinate responses.
Sharing your personal data
We may share your personal data with:
- Employees of both controllers.
- Legal and professional advisers.
- Medical experts, engineers, and specialists where relevant.
- Identity verification and fraud prevention services.
- IT and case management providers.
- Regulators (SRA, ICO, HMRC).
- Courts, tribunals, and law enforcement authorities.
- Marketing platforms, where you have consented.
- MHC does not handle or access case files.
Where MHC acts as a processor for True, it may use approved service providers (e.g., secure hosting, telephony, web forms). MHC engages these only with True’s prior authorisation and underwritten contracts that impose equivalent data protection obligations; MHC remains responsible for their performance. International transfers
Where we process your data. We aim to store and process personal data in the UK. If a transfer outside the UK is necessary, we will use approved safeguards (such as the UK International Data Transfer Agreement or Addendum) and, where MHC is processing for True, only with True’s prior written consent.
Data security
Both controllers maintain strong technical and organisational measures, including:
Multi factor authentication.
Encrypted storage and transfer.
Strict access control policies.
Secure call recording systems.
Regular penetration testing and auditing.
AI specific safeguards (no model training on your data).
Despite safeguards, no internet transmission is entirely secure.
If we suspect a personal data breach, True and MHC will promptly notify each other, investigate, and take steps to mitigate harm. Where legally required, True (or the relevant controller) will handle notifications to the ICO and to affected individuals. When MHC is acting as a processor for True, MHC will notify True without undue delay and within 24 hours of becoming aware of a breach and will not contact regulators or individuals unless authorised or required by law.
Data retention
Website enquiry data is retained only for as long as necessary to:
- process your enquiry, and
- comply with legal/regulatory requirements.
If you become a client of True Solicitors, or any other solicitor to which legal work is referred, your file will be retained in accordance with that firm’s retention schedule, which is typically 6-15 years depending on the nature of the case.
If you do not instruct the firm, enquiry data is normally retained for a minimum of 3 years.
Your rights
You have the right to:
- Access your data.
- Rectify inaccurate data.
- Request erasure (where legally permissible).
- Restrict processing.
- Object to processing.
- Withdraw consent (marketing only).
- Request data portability.
- Complain to the ICO (www.ico.org.uk).
